Orders, budgets, plans and approvals, and the cost and margin derived from them.
The true cost of every project.
Live cost, margin and forecast on every project, calculated from approved timesheets and real salary rates rather than estimates.
- ₹1,499per user, per month
- Five Zoho appslicences included
- Setup and supportno separate quote
Every application, included.
Licences, configuration and support for each application below form part of the subscription. There is no separate Zoho invoice and no separate implementation quote.
The platform Propeoll is built on and runs inside.
Project structure, milestones, tasks and timesheets.
The data layer, and the dashboards that come off it.
Invoicing from milestones, and revenue against each project.
Salary, divided into a cost per person per hour that moves when the salary does.
Zoho, Zoho Projects, Zoho Books, Zoho Payroll, Zoho Creator and Zoho Analytics are trade marks of their owner. Propeoll is an independent application built on the Zoho platform.
Zoho Projects can hold the money. Keeping it true is the problem.
Revenue against a milestone, a budget, a cost per hour: the fields exist. Reaching them means working through screens built for managing tasks, so the figures are entered once at kick-off and rarely touched again. From that point they describe the project as it was sold, not as it is running.
Revenue and budget are buried
Setting a value against each milestone takes a pass through a task-management structure. It gets done at the start, then left alone while the project changes around it.
Cost per hour is a fixed number
A rate is typed into each employee profile and stays there. A salary revision never reaches the projects that person is working on, so every figure built on it is quietly out of date.
Every currency is a second job
A project billed in USD or AUD needs its own rate against every individual, entered by hand, and kept in step as salaries and exchange rates move.
A budget entered at kick-off and never revisited records what was authorised, never what will be spent.
Propeoll tracks the money.
Every project raises the same four questions. Propeoll answers them while the project is still running, not after it has closed.
Is this project making money today?
Cost, billing and margin move as the work moves. Profitability is a figure available now, not a discovery made at month end.
Will it finish inside budget?
Spend is measured against an approved budget at every stage, so remaining headroom is a fact rather than an estimate.
Where is the money going?
Cost breaks down by project, role and person, so an overrun can be traced back to its source in minutes.
Can the number be defended?
Each figure traces to an approved timesheet, a rate and an invoice, with the full record retained behind it.
The decision moves from the end of a project into the middle of it, while the outcome can still be changed.
Three applications in. One set of numbers out.
Hours from Projects, salaries from Payroll, invoices from Books. Propeoll reads all three and returns one costed view of the project.
Entered like a sales order.
Each stage of the project is a line, with the amount payable against it and the cost it is allowed to run to. Add the stages, set the amounts, and the contract value, the budget and the billing schedule follow from the same list. No pass through a task structure to reach a revenue field.
One list, one screen
Stages and amounts edited the way a quote is edited, in the order the work is delivered.
Revenue against cost
The cost budget sits on the same line as the amount payable, so margin is readable stage by stage.
Revised, not overwritten
A change of scope creates a new version. The figure that was approved before it remains on record.
Approved before it counts
Orders, budgets and plans pass a three-level approval chain before they reach a single report.
| Stage | Payable | Budget | State |
|---|---|---|---|
| Discovery and design | ₹4,50,000 | ₹2,80,000 | Invoiced |
| Build, phase one | ₹8,00,000 | ₹5,40,000 | Invoiced |
| Build, phase two | ₹8,00,000 | ₹5,40,000 | In progress |
| UAT and handover | ₹4,50,000 | ₹2,40,000 | Not started |
Add a stage, set what is payable and what it is allowed to cost. The contract value, the budget and the billing schedule all come off this one list.
- Salary this periodfrom Zoho Payroll ₹1,65,000
- Working daysper the company calendar ÷ 22
- Hours in a daystandard working hours ÷ 8
- Cost per hour ₹938
Nothing on this list is typed into a project. Revise the salary and every project that person works on is costed at the new rate from that day.
A rate that moves with the salary.
In Zoho Projects the cost of an hour is a number somebody types into a profile. Propeoll works it out instead: the salary already held in Zoho Payroll, divided by the working days in the period and the hours in a day. Revise a salary and every project that person works on is costed at the new rate from that day.
Derived, never typed
The salary is already in Payroll. There is no rate card to maintain and no profile to remember to update.
Currency handled once
Cost is converted to the currency the project is billed in as it is calculated, so a rate is never entered twice.
Approved hours only
Hours approved in Zoho Projects are the only ones that carry cost. Rejected and absent time is excluded.

Frequently asked.
What is included in the subscription?
The Propeoll application, the Zoho applications it runs on, implementation of each, training and ongoing support. A single per-user rate, a single invoice and a single point of contact.
Are Zoho licences purchased separately?
No. The Zoho applications Propeoll requires are included in the plan and invoiced with it, along with implementation. Licences already held are absorbed at their renewal date rather than duplicated.
How is the cost per hour worked out?
From the salary held in Zoho Payroll, divided by the working days in the period and the hours in a day, with designation averages as a fallback where no salary is held. It is never typed into a project, so a salary revision reaches every project that person works on from the day it takes effect. Approved hours from Zoho Projects are then multiplied by that rate, the moment they are approved.
Who approves timesheets?
Project leads, in Zoho Projects, exactly as today. Propeoll does not operate that approval. It reads the result and costs only approved hours. The approval chain within Propeoll is separate and governs Orders, Budgets and Plans.
Zoho Projects already has budget and rate fields. What is different?
The fields exist; reaching them means working through a structure built for managing tasks, and the cost per hour there is a static number held per user. Propeoll puts revenue and budget on one list, the way a sales order is written, and derives the rate from salary instead of storing it. Projects in other currencies convert as cost is calculated rather than needing a second set of rates.
What is the implementation timeline?
Most organisations are live within a few weeks. Provisioning, configuration and training are carried out as part of the subscription rather than billed separately.
Where does the data reside?
In a Zoho account held in the customer’s name. Propeoll runs there, so project and cost data remains on Zoho infrastructure under the customer’s own access controls. No separate third-party database holds a copy.
