The Health Store
Streamlining HR & Payroll Operations with Zoho People and Zoho Payroll
Visit websiteOne connected system of record for HR and payroll
Tech Magify implemented a comprehensive HR management solution for The Health Store, streamlining attendance, leave, payroll, employee records, and HR operations. Before the engagement, several of these processes were managed through a mix of spreadsheets and manual coordination, which made it difficult to maintain one consistent, trustworthy record as the organization grew.
The objective was to create a seamless connection between employee lifecycle management and payroll processing while reducing manual intervention — giving HR and finance a single system of record they could rely on every pay cycle, rather than reconciling attendance, leave, and payroll data by hand.
Built around a distributed, service-oriented workforce
The Health Store is more than a healthcare supplier; it is a trusted partner in its customers' health journey. With a team of expert Orthotists, Prosthetists, Mobility Experts, and Sleep Specialists, the company provides personalized healthcare solutions that promote well-being and independence. Because that team works across patient consultations, fittings, and follow-up visits rather than a single fixed location, its HR processes need to keep pace with a distributed, service-oriented workforce.
Tech Magify implemented Zoho People and integrated it with Zoho Payroll to create a unified HR ecosystem that automated HR operations, improved data accuracy, and streamlined employee management — approached as a configuration and process redesign exercise built around how The Health Store actually operates day to day, rather than a simple software rollout.
Where HR & payroll were losing time
Several interconnected issues across attendance, leave, and payroll were limiting how efficiently The Health Store's HR team could operate:
Attendance discrepancies due to shift timing mismatches
Employees on different shift patterns were frequently flagged for early arrivals, late check-outs, or missed punches that didn't actually reflect their real working hours, creating recurring reconciliation work for the HR team.
Manual attendance regularization
Without an automated regularization workflow built around the company's actual shift rules, correcting these discrepancies depended on manual review and back-and-forth approvals rather than a systematic process.
Leave policy restructuring
Existing leave policies hadn't been configured to reflect the company's intended accrual, reset, and carry-forward rules, which meant leave balances didn't always line up with policy or with what employees expected to see.
Employee data inconsistencies between Zoho People and Zoho Payroll
Because the two systems weren't fully synchronized, routine changes such as a new hire, a designation update, or a change in bank details had to be entered separately in each system, increasing the risk of payroll errors.
Reporting hierarchy and HR process configuration challenges
Approval workflows and reporting lines hadn't been fully mapped within the system, which slowed down everyday HR actions such as leave approvals and attendance regularization.
Diagnosing root causes, not just symptoms
Before proposing a solution, Tech Magify conducted a detailed review of The Health Store's existing HR and payroll setup — auditing attendance policies and shift mappings, reviewing leave configurations against the company's actual entitlement rules, tracing how employee data flowed (or failed to flow) between Zoho People and Zoho Payroll, and mapping the reporting hierarchy against the system's access and approval structure. This confirmed the issues weren't isolated incidents, but symptoms of underlying configuration gaps across attendance, leave, payroll synchronization, reporting, and process automation that needed to be addressed together.
Fixing the root configuration gaps
Based on this evaluation, Tech Magify designed a solution that addressed the root configuration gaps rather than treating each symptom separately:
Zoho People for the full employee lifecycle
Implemented Zoho People for attendance, leave, employee management, HR processes, and reporting structures, giving The Health Store a single platform to manage the full employee lifecycle, from attendance capture and leave requests to organizational reporting, in place of the patchwork of manual processes previously used.
Integrated Zoho Payroll
Integrated Zoho Payroll to synchronize employee and payroll data, establishing a connected flow of employee master data so that payroll calculations are based on accurate, current information instead of details entered twice into two separate systems.
Configured policies & workflows
Configured attendance regularization, leave policies, work calendars, and welcome email templates, covering shift timing rules, regularization workflows, leave policies aligned to the organization's actual entitlements, and standardized onboarding communication for new employees.
A structured, five-phase rollout
The rollout was carried out as a structured, five-phase process so that each layer of the system was validated before the next was built on top of it:
Employee master data validation
Existing employee records were reviewed and cleaned up to remove duplicates and inconsistencies before being carried into the new setup, so payroll and HR processes started from a reliable baseline.
Attendance and shift configuration
Shift timings and attendance rules were configured to match how different teams actually work, reducing the false discrepancies that previously required manual correction.
Leave policy creation and leave balance updates
Leave policies were rebuilt within Zoho People to reflect the company's accrual, reset, and carry-forward rules, and existing leave balances were updated so every employee record aligned with the new configuration.
Payroll integration and synchronization
Zoho People was connected to Zoho Payroll so that attendance, leave, and employee master data feed directly into payroll processing, cutting down on duplicate data entry.
Reporting hierarchy and access management
Reporting lines and approval hierarchies were mapped within the system, so leave approvals, attendance regularization, and other HR actions follow the correct chain of approval.
Measurable improvement across HR operations
With attendance, leave, employee records, and payroll now operating on a single connected platform, The Health Store has seen measurable improvement across its HR operations:
Centralized HR and payroll operations
Attendance, leave, employee records, and payroll now run on one connected platform rather than separate spreadsheets and disconnected systems.
Reduced manual administrative effort
Automated regularization workflows and payroll synchronization have cut down on the manual cross-checking that previously consumed HR team time every cycle.
Improved employee data accuracy
A single, consistent source of employee data across Zoho People and Zoho Payroll has reduced the mismatches that previously led to payroll corrections.
Standardized HR processes
Leave policies, attendance rules, and onboarding communication now follow a consistent, documented configuration instead of ad hoc handling case by case.
Enhanced employee experience
Employees benefit from clearer leave balances, fewer attendance disputes, and a more dependable, predictable HR experience day to day.
An ongoing relationship, not a one-time handoff
The project's status, Delivered & Live, In Support, reflects an ongoing relationship rather than a one-time handoff: Tech Magify continues to support The Health Store as new questions and edge cases arise, from fine-tuning leave policies to assisting with payroll cycles and reporting needs. Tech Magify is a Zoho implementation partner helping organizations roll out Zoho People, Zoho Payroll, and related applications, with configuration that matches how each business actually operates.
