Case Study
PW Shoes
Transforming wholesale distribution with an integrated Zoho ecosystem.
PW Shoes needed to connect customer management, purchasing, inventory and accounting — without asking its warehouse team to abandon a system that already worked. Rather than replacing it, Tech Magify built a real-time bridge between the warehouse and Zoho, then layered in customized documents and automation on top: one reliable source of truth for day-to-day decisions.
Executive summary
A family-owned wholesaler, one connected platform.
PW Shoes is a family-owned footwear manufacturer and wholesale distributor supplying retailers across the United States. As order volumes grew, sales, purchasing, inventory, accounting and warehouse activity were increasingly spread across disconnected tools, making it harder to keep operations aligned.
Tech Magify implemented Zoho CRM and Zoho Books as a connected business platform and built a real-time integration with the company's existing Phoenix Warehouse system — an approach designed to preserve the workflows PW Shoes already relied on, while giving sales, purchasing and finance a shared, accurate view of inventory and orders.
The challenge
Disconnected data and manual steps were slowing growth.
Several disconnected data sources and manual processes were limiting how efficiently PW Shoes could manage sales, procurement and inventory.
Fragmented business data
Information was spread across QuickBooks Desktop, spreadsheets, Slack, Google Drive and the warehouse app — no single place held the full picture.
Limited inventory visibility
Sales reps building quotes or confirming orders had no reliable way to check what stock was actually on hand.
Manual reconciliation
Keeping warehouse counts aligned with accounting records depended on staff manually cross-checking data between systems.
Procurement blind spots
Purchase orders and vendor shipments were hard to track once in the pipeline, leaving gaps between what was ordered and what arrived.
Mismatched documentation
Default system-generated paperwork didn't reflect the sales orders, invoices and catalogues PW Shoes' customers were used to.
Duplicate data entry
Customer, inventory and transaction details had to be entered more than once across separate systems, adding effort and room for error.
Approach & solution
Sync in real time, don't add another manual step.
Before designing anything, Tech Magify mapped how information actually moved through PW Shoes — tracing orders from first contact through fulfillment and reviewing where warehouse, accounting and sales records diverged. The challenges weren't rooted in one broken process, but in the absence of a live connection between the warehouse and the rest of the business — so the fix had to synchronize data in real time.
Connected platform
Zoho CRM and Zoho Books centralize customer records, quotations, orders, vendor management and financial transactions in one system instead of tools that didn't talk to each other.
Real-time warehouse bridge
A custom API integration between Phoenix Warehouse and Zoho Books establishes a live data bridge, so inventory movements are reflected in Zoho automatically and sales and accounting stay on the same numbers.
Documents that match
Sales Order, Purchase Order, Catalogue and Invoice templates were configured so customer-facing paperwork stayed consistent with what the business already used.
Implementation
A structured, five-phase rollout.
Each layer was validated before the next was built on top of it, so operations continued without interruption.
- 01
Data migration & cleanup
Customer and financial records were migrated out of QuickBooks Desktop, reviewed and cleaned so Zoho CRM and Zoho Books started from an accurate baseline.
- 02
Phoenix Warehouse API development
A real-time integration was built between Phoenix Warehouse and Zoho Books so inventory movements across multiple warehouse locations sync automatically instead of through periodic manual updates.
- 03
CRM and Books synchronization
Customer, inventory and transaction data were connected between Zoho CRM and Zoho Books, giving sales teams live stock information the moment it changes.
- 04
Document template customization
Sales Order, Purchase Order, Catalogue and Invoice templates were rebuilt within Zoho to match PW Shoes' existing documentation, keeping day-to-day paperwork familiar to staff and customers.
- 05
Phased departmental rollout
Sales, purchasing, warehouse and finance teams were brought onto the new system in stages, so operations continued without interruption while each department adapted.

Clearer procurement tracking
Purchase orders and vendor shipments are visible end to end, giving the purchasing team better lead-time planning.
Consistent customer documentation
Sales Orders, Purchase Orders, Catalogues and Invoices generate automatically in PW Shoes' established format, with no manual reformatting.
